Follow-Up

Win back patients who missed their appointment. When someone no-shows, Anashi's AI calls them to ask whether they'd like to reschedule — so a missed visit doesn't become a lost patient.

Follow-Up is an optional feature. If you don't see it in your sidebar, your clinic hasn't enabled it yet. Ask your practice manager, or reach out through the Support Ticket link at the bottom of the sidebar to have it turned on.

What Follow-Up is for

Regular Appointments handle calls before a visit — confirming the patient is coming. Follow-Up handles the opposite situation: a patient who already missed an appointment. Instead of that no-show quietly disappearing, Anashi calls them back, asks if they want to rebook, and tells your front desk exactly who wants to return.

It works almost exactly like the Appointments screen — same table, same right-side detail panel, same AI calls with recordings — but with its own list, its own call outcomes, and its own call timing settings.

The Follow-Up list

Like Appointments, the Follow-Up screen has two date selectors — one for the calls going out and one for the missed appointments themselves — plus status filter pills. Note the date chip here reads "Missed appts" rather than "Appointments."

Follow-Up status meanings

Follow-Up uses its own outcome vocabulary, different from the Appointments statuses — because the question the AI is asking is different ("do you want to rebook?" not "are you coming?").

Wants RescheduleThe patient wants to book a new appointment. Your front desk should reach out and offer times.
DeclinedThe patient doesn't want to reschedule, or asked not to be contacted again. No further action.
No AnswerBoth follow-up calls went unanswered or reached voicemail.
Needs Staff Follow-UpThe patient answered, but a human needs to handle it — a question, a billing issue, or an unclear outcome the AI couldn't resolve.

The detail panel

Click any row to open the detail panel on the right — same as Appointments. It shows which appointment the patient missed, the AI's call outcome, a summary, and the recording.

Adding follow-ups

There are two ways to get missed appointments into the Follow-Up list:

Add follow-up (one at a time)

Click Add follow-up (top right). The form is the same as a new appointment, except the date you enter is the appointment the patient missed — so it's a date in the past. Anashi then schedules the AI's win-back call.

Import follow-ups (in bulk)

Click Import follow-ups to bring in a batch of no-shows from a spreadsheet — the same four-step flow as regular bulk import, just pointed at the Follow-Up list. One difference: because these are missed appointments, the import checks that each appointment date is in the past. If a date is in the future, you'll see a warning asking whether it's really a missed appointment.

Missed-appointment date is in the future? That warning during import means you may have picked the wrong date — a follow-up is for a visit the patient already missed, so the date should be in the past. Double-check before importing.

Follow-Up call settings

Follow-Up has its own call timing, separate from your regular appointment reminders — because you may want to chase no-shows on a different schedule than you confirm upcoming visits. You'll find these under Clinic Settings in a section called Call Reminder Settings (Follow-Up):

Follow-Up also uses a separate AI agent behind the scenes, tuned for the "you missed your appointment — would you like to reschedule?" conversation. Your practice manager configures this once when the feature is enabled; you don't need to touch it day to day.

Daily habit that recovers revenue: check the Wants Reschedule filter each morning. Those are patients who already told the AI they want to come back — a quick call to offer them times is the single highest-value thing Follow-Up surfaces.
